1. Booking Agreement
A binding contract exists once Nextgen Safaris issues a Confirmation Invoice & Itinerary following receipt of your deposit.
By booking, you guarantee authority to accept these conditions on behalf of all party members listed on the booking form.
2. Payment Terms & Price Quotes
Deposit: A deposit of 50% or 100% is required at booking, depending on whether your safari includes internal flights, Gorilla/Chimpanzee permits, or peak-season accommodations.
Permits: Chimpanzee and Gorilla permits in Uganda and Rwanda must be paid 100% upfront at official government rates. Permits are strictly subject to government wildlife authority terms.
Balance Payment: Remaining balances must be paid 45 to 20 days before the trip’s departure date. Late or non-payment may result in trip cancellation and forfeiture of deposit.
Quotes: All quotes are issued in USD only and are valid for 7 days.
3. Cancellation Policy
Cancellations must be submitted in writing to info@nextgensafaris.com and explicitly acknowledged by NS. The following charges apply based on the date written notice is received:

*Note on Non-Refundable Items:
Upfront payments for gorilla/chimpanzee permits and domestic flights are 100% non-refundable and will be retained in addition to standard cancellation charges.
Peak season camp cancellations (December–February, May–July) may incur higher cancellation fees. These will be disclosed in writing prior to deposit payment.
Cancellation invoices can be provided upon request to support travel insurance claims.
4. Changes & Transfers
Client Alterations: Requests to alter travel dates or accommodation must be made in writing. A USD $50 administration fee plus any additional supplier costs will apply. Changes within 45 days of departure may incur up to 100% cancellation charges for affected services.
Booking Transfers: You may transfer your booking to another person up to 7 days before departure, provided all original conditions are met. Both parties remain liable for transfer costs.
5. Cancellations & Changes by Nextgen Safaris
Cancellations by NS: NS will not cancel a trip less than 45 days before departure except for non-payment or extraordinary, unavoidable circumstances (e.g., severe force majeure evaluated via official US/UK Foreign Office advice). If NS cancels outside these exceptions, compensation of USD $250 per person will be issued.
Price Adjustments: NS reserves the right to adjust trip prices due to fuel costs or third-party taxes/fees. Price changes will not occur within 45 days of departure. If a price increase exceeds 8%, you may cancel within 7 days for a full refund (excluding amendment fees).
Minor Changes: NS reserves the right to make minor schedule alterations (e.g., flight adjustments under 12 hours, switching to equivalent/higher standard lodging, or shifting activity order).
6. Liability & Excursions
Limitation of Liability: Except in cases involving death, injury, or illness, NS liability is limited to a maximum of three times (3x) the cost of your travel arrangements.
Third-Party Excursions: Independent tours or excursions booked directly on-site in Africa are not part of the contract with NS. NS bears no responsibility for third-party operators.
7. Complaints & On-Site Resolution
Issues during travel must be reported immediately to the camp manager, driver-guide, or trip manager on-site to allow immediate rectification.
Unresolved complaints must be emailed to info@nextgensafaris.com with your booking reference within 28 days of returning home.
8. Traveler Responsibilities, Health & Documentation
Passports & Visas: Travelers are solely responsible for meeting passport, visa, and entry requirements.
Medical Conditions & Special Needs: Disclose any disabilities, medical conditions, or dietary restrictions prior to booking. NS reserves the right to decline bookings if needs cannot be safely met.
Inherent Safari Risks: African safaris carry inherent risks regarding wildlife, environment, and health. Travelers accept these risks upon booking.
Travel Insurance: Mandatory for all clients. NS reserves the right to cancel bookings if proof of insurance is not provided.
9. Epidemic & Pandemic Addendum (COVID-19 & Ebola)
Insurance Requirement: Your insurance policy must explicitly cover epidemic/pandemic outbreaks (including Ebola Virus Disease and COVID-19), medical care, quarantine, and repatriation.
Liability Exclusions: NS is not liable for costs arising from pandemic-related flight shifts, quarantine mandates, PCR testing fees (typically $100–$350 USD per test), or local hospital standards during government-directed health responses.
Safety Guidelines: Travelers must adhere to local health protocols, including mask-wearing, sanitization, and social distancing where required.
10. Governing Law & Jurisdiction
Contracts are governed by Ugandan Law and the jurisdiction of Ugandan Courts (or the laws/courts of Rwanda, Kenya, or Tanzania where operations take place).
